When an employee ends employment, work with your Employee Relations consultant to hand over any employee records so we can add them to the main file if appropriate. Record Retention All AtlantiCare business records will be created, retained, stored, and destroyed in compliance with all applicable state and federal laws, regulations, and contract requirements. All business records are the property of AtlantiCare. Leader Expectation(s): All employment-related documents, such as interview notes, coaching/counseling/ discipline forms, preliminary and annual performance evaluations, performance related notes, orientation checklists, competency assessment, license primary sources and certifications, resignation letters, etc., must all be sent to HR for record retention. Leaders are welcome to keep a copy of these documents for their own records, but originals must be with HR. When leaders change jobs they may pass along their record copies to their successor or send them to HR. Verification of Employment AtlantiCare provides a quick and secure way for businesses to verify our employees’ employment information. The Work Number is an automated service that protects your personal information during the verification process. This secure service is used when you apply for a mortgage, a loan, a job, or any other instance where proof of employment and/or income is needed. To find the Work Number flyer, go to The Starfish > Apps & Resources >Work Number. Leader Expectation(s): Leaders should direct their staff to utilize The Work Number when staff request verification for employment or income. References A common part of the background check process during hiring is reference checking. AtlantiCare does this for candidates we hire and other employers will do it when trying to hire our employees. AtlantiCare uses Skillsurvey, which is an email based automated process, to conduct reference checks on our top candidates. We do require at least three (3) positive references before extending job offers. Leader Expectation(s): Despite it being a common practice, AtlantiCare asks that our leaders not provide references for our employees to other employers. Reference feedback is documented and discoverable, so there is legal risk in how feedback can be interpreted and can potentially result in a withheld or rescinded offer of employment. For the same reason we also ask that leaders do not conduct their own reference checking on candidates for their open positions. Citrix Access Citrix is the platform used to access your AtlantiCare files and programs when you’re not directly connected to the network. To get to this from work you can go to The Starfish page and click “AtlantiCare Access” under “apps and resources.”To access this from home, go to the AtlantiCare website ( www.atlanticare.org ), then under “For Our Staff” click “AtlantiCare Access.”This will direct you to a login. For security purposes, we use a two-step verification process for this site. If you need to access AtlantiCare applications offsite, you will need to enroll your personal device to allow for remote access and Multi Factor Authentication through the Imprivata ID app. To do this, contact the AIT Help Desk ( AITCSC@atlanticare.org ). If you do not contact AIT for assistance, you will not be able to access AtlantiCare applications when not on site. Leader Expectation(s): Leaders are expected to know how to use Citrix and assist their staff when necessary. IT Systems/Folder Access/Submit Help Ticket AtlantiCare’s IT Customer Service Help Desk and Self Service Portal can assist you with getting access to folders and systems relevant to your job, request new equipment for your area, and everyday IT issues. As a leader you may have to request access to area-specific systems and folders for your employees and these requests would 37
